Zapier and Make automation services

We build Zaps and Make scenarios that keep working after the person who made them moves on: clear triggers, de-duplication, error alerts and a short document that says what each automation does and who owns it.

Sound familiar?

  • Dozens of Zaps or scenarios built by different people, and nobody knows which ones still matter.
  • Automations fail quietly and you find out from a customer or at month end.
  • The bill keeps rising and you do not know which workflows drive it.
  • A new process needs automating and you want it done properly the first time.

What this covers.

Many accounts grow one automation at a time. We list what exists, fix or remove what is fragile, cut the steps that cost the most, and move a flow to n8n or code only when that clearly pays off.

  • New automations

Lead intake, CRM updates, onboarding, invoicing and reporting built with error paths, not only the happy path.

  • Audit and clean-up

Every Zap and scenario listed with its owner, cost and failures, then fixed, merged or switched off.

  • Error alerts and replays

Failed runs reported to a named person with the data needed to run them again.

  • Lower running costs

The steps and loops that use the most tasks or credits filtered earlier, batched or rewritten.

  • Code where it pays off

Webhooks and small functions for logic or volume the tools handle badly, or a move to n8n when the numbers say so.

Example workflows.

Typical requests, not client projects. Each one includes what happens when a step fails.

  1. New lead to first reply

Starts whenSomeone fills in the form on your website.

    1. Find the contact in HubSpot or Pipedrive and update it instead of creating a duplicate.
    2. Assign an owner by region or deal size.
    3. Post the lead to the sales channel in Slack and send a first reply from the owner's address.

If something failsIf the CRM does not respond, the lead is held and retried, and the owner still gets the Slack message.

  2. Paid order to invoice

Starts whenA Shopify or Stripe order is paid.

    1. Find or create the customer in QuickBooks or Xero.
    2. Create the invoice with the right items and tax.
    3. Mark it paid and record the payment fee separately.

If something failsEach order is posted once, even when the same webhook arrives twice.

  3. Client onboarding

    Starts whenA proposal is signed.

    1. Create the project in Asana or ClickUp from a template.
    2. Create the shared folder and send the welcome email.
    3. Book the kickoff call in the account manager's calendar.

If something failsIf a step fails, the account manager gets a message saying what was and was not done.

  4. Monday report

    Starts whenEvery Monday at 8:00.

    1. Pull last week's revenue, new deals and open support tickets.
    2. Build a one-page summary.
    3. Send it to the team channel and by email.

If something failsIf a source is unavailable, the report says so instead of showing a zero.

How an audit of an existing account works

We start with a list of every Zap or scenario: its trigger, the apps it touches, who built it, how often it runs, how many tasks or credits it used last month and how often it failed. Most accounts have automations that nobody remembers, some that duplicate each other and a few that quietly cost most of the bill.

You get the list with a recommendation for each automation: keep as it is, fix, merge with another, move to code or n8n, or switch off. Nothing is changed until you agree, and every change is tested against real recent data before it goes live.

What every automation we hand over includes

A workflow that works on the day it is built is the easy part. These are the things that keep it working:

  • A named owner and a one-paragraph description of what it does and why
  • An error path that alerts the owner with the failed data, instead of a silent stop
  • A check that stops the same record from being created twice
  • Filters as early as possible, so runs that do nothing do not use tasks or credits
  • Connections that belong to a shared or service account, not to someone who might leave
  • Clear names and folders, so the next person can find their way around

A call, a fixed quote, weekly progress.

You describe the problem on a 30-minute call and get a written fixed quote. We build in fixed-price stages and show working software every week, then hand over the code, infrastructure and documentation on your accounts. See all five steps.

Zapier & Make automation: questions.

How much does a Zapier or Make automation cost?

Automating one process end to end usually costs $3,500–10,000 and takes one to three weeks, including error handling, tests and documentation. Your Zapier or Make plan is paid directly by you.

Should we stay on Zapier or move to Make or n8n?

Stay if the workflows are short and the bill is reasonable. Make is often cheaper for branching flows; n8n pays off for long or frequent workflows and custom logic. We compare the running cost of your real workflows before suggesting a move.

Can you fix automations someone else built?

Yes. We start by listing every Zap or scenario with its trigger, owner and recent failures, agree what to keep, and then fix, merge or switch off the rest.

Who owns the account and the automations?

You do. We work in your Zapier or Make account with our own user, connections stay in your account, and everything is documented for whoever maintains it next.

Do you sign an NDA?

Yes. We are happy to sign your NDA before you share the details.

When can you start?

We confirm the start date in the written quote, once the scope is agreed. We don't promise a date before we know the work.

Is design included?

Where the work has screens, yes: wireframes and interface design for the agreed scope are part of the fixed price. Brand identity or a full design system are quoted separately if you need them.

Have a project in mind?
