QuickBooks and Xero integration

We connect QuickBooks Online and Xero to the systems where sales happen: payment providers, online stores, CRMs, booking and job systems. Customers, invoices, payments, refunds and fees reach your books once, in the right accounts, and a scheduled check finds anything that went missing.

Sound familiar?

  • Someone exports payments or orders every week and enters them in QuickBooks or Xero by hand.
  • A connector creates duplicate customers or invoices, and month end means cleaning them up.
  • Partial payments, refunds or fees do not match what the connector posts.
  • The connector you relied on is being discontinued, or your system never had one.

What this covers.

Ready-made connectors work for simple cases. We build a custom integration when you need your own mapping rules, partial payments, several currencies or entities, or a system that has no connector at all.

  • Payments and payouts

Stripe, Square or PayPal payments, refunds, fees and payouts posted so that they match your bank deposits.

  • Orders and invoices

Shopify orders and invoices from your own system created in QuickBooks or Xero with the right items, taxes and accounts.

  • CRM to accounting

Closed deals in HubSpot, Salesforce or Pipedrive turned into customers and invoices, with payment status sent back to the CRM.

  • Customer and item matching

Rules that match existing customers and items instead of creating duplicates, with unclear cases sent for review.

  • Reconciliation and alerts

A scheduled comparison between the source system and your books, with differences reported before month end.

Connector or custom integration

Marketplace connectors for QuickBooks Online and Xero cover the common cases well: one store or payment account, standard taxes, one currency. When they fit, use them. We say so on the first call, and it costs you nothing to find out.

A custom integration pays off when the connector posts something your accountant has to fix every month: partial payments, deposits, refunds split across lines, fees that must land in their own account, several entities or currencies, or a system of your own that no connector supports. It also gives you the matching rules in code you own, instead of settings in a tool you rent.

Posting rules agreed with your accountant

The hard part of an accounting integration is not the API. It is deciding exactly what each event in the source system becomes in the books. We write those rules down with your accountant before building, for example:

  • Which account receives sales, fees, refunds and chargebacks
  • How payouts are recorded so they match the deposit on your bank statement
  • How customers and items are matched, and what happens when no match is found
  • Which tax codes apply and who owns tax calculation: the source system or your books
  • What happens to an invoice when the order behind it is changed or cancelled

Reconciliation and what you get at handover

Every record sent to QuickBooks or Xero carries the ID of its source, so the integration can tell a new record from a repeat and never posts the same payment twice. A scheduled job compares totals and records between the source and your books, and lists any difference with a link to both sides.

The integration runs in your own cloud account and connects to QuickBooks or Xero through your company's authorisation, which you can revoke at any time. You get the code with tests, the posting rules document, the reconciliation report and a runbook. Thirty days of fixes are included, then monthly support or your own team.

A call, a fixed quote, weekly progress.

You describe the problem on a 30-minute call and get a written fixed quote. We build in fixed-price stages and show working software every week, then hand over the code, infrastructure and documentation on your accounts. See all five steps.

QuickBooks & Xero integration: questions.

How much does a QuickBooks integration cost?

An integration between one system and QuickBooks Online or Xero usually costs $3,500–8,000 and takes one to three weeks, depending on the data, the mapping rules and cases such as partial payments and refunds.

Should we use an existing connector instead?

If a connector posts what your accountant needs, use it. A custom integration pays off when you need your own mapping, partial payments, several entities or currencies, or a source system without a connector.

Will our accountant need to change anything?

We agree the accounts, items, tax codes and posting rules with your accountant before building, and test against a sandbox or copy company first.

What happens if QuickBooks or Xero is unavailable?

Changes are queued and retried, and anything that still fails is listed for a person to replay. The scheduled reconciliation catches records that never arrived.

Do you work with QuickBooks Desktop?

We focus on QuickBooks Online and Xero, which have modern APIs. For QuickBooks Desktop we check what your version allows before quoting.

Do you sign an NDA?

Yes. We are happy to sign your NDA before you share the details.

When can you start?

We confirm the start date in the written quote, once the scope is agreed. We don't promise a date before we know the work.

Is design included?

Where the work has screens, yes: wireframes and interface design for the agreed scope are part of the fixed price. Brand identity or a full design system are quoted separately if you need them.
