AI document processing

We build document processing that reads invoices, purchase orders, forms and contracts the way your team does: fields extracted, totals and references checked against your rules, and the result entered into your accounting system, ERP or CRM. Only documents that fail a check reach a person.

AI document processing

From $6,000

Usually $6,000–15,000 · 2–4 weeks

  • Fixed quote after a 30-minute call
  • Design, testing and deployment included
  • Your code and infrastructure from day one
  • 30 days of bug fixes after acceptance

The price covers one document type processed end to end, from intake to posting. Model usage is billed to your own account. See all prices and terms

Sound familiar?

  • Someone opens every invoice or order and types it into another system.
  • Documents arrive by email in many layouts, and templates break whenever a supplier changes theirs.
  • Mistakes are found at month end, long after the document was entered.
  • You tried an OCR tool, but checking its output takes almost as long as typing.

What this covers.

Accuracy is measured, not assumed. Before launch we run a set of your real documents, show which fields are read reliably and send the rest to review, so mistakes are caught before they reach your books.

  • Intake from email and uploads

Documents collected from a mailbox, upload form or shared folder, de-duplicated and sorted by type.

  • Field extraction

Supplier, dates, line items, totals and references read into structured data, with fields the model is unsure about marked as such.

  • Rules as code

Totals that must add up, purchase orders that must match, suppliers that must exist: checks you can read and change, not prompts.

  • Review queue

Documents that fail a check wait in a queue with the problem highlighted, and every correction is kept with its history.

  • Posting to your systems

Approved data entered into QuickBooks, Xero, your ERP or CRM through their APIs, with a link back to the source document.

How we measure accuracy before launch

Every supplier, customer and form looks a little different, so accuracy claims from a vendor's demo tell you little about your documents. We start with a sample of your real documents, typically a few dozen per type, and write down the correct value for each field with someone who knows them.

That sample becomes the test. Each week you see how many fields were read correctly, which ones fail and why, and the model cost per document. Fields that are read reliably go straight through; fields that are not are routed to review until they are. You decide where that line sits before anything goes live.

When a model or prompt changes later, it runs against the same sample first, so a change that makes results worse never reaches your books.

Checks that catch a misread

A language model reads a document well, but it can still misread a digit or pick the wrong date. The checks after extraction are plain code, not another model call, so they behave the same way every time:

  • Line items add up to the subtotal, and the subtotal plus tax equals the total
  • The purchase order exists and the amounts match it within the tolerance you set
  • The supplier and its tax or VAT number are already in your records
  • The same invoice number from the same supplier has not been entered before
  • The amount is in line with earlier invoices from that supplier

Built the way our own product works

Our AI document checks product follows this design. Documents are classified and their fields extracted with Claude, values the model was unsure about are shown as such, and the checks are deterministic code. Classifications, extractions, corrections and check runs are append-only, so history is never overwritten. You can try the same flow in the document checks demo with a sample invoice.

At handover you get the code, the prompts under version control, the test sample with its results and the script that runs it. Model usage is billed to your own API key, and the runbook covers how to review flagged documents and add a new document type.

A call, a fixed quote, weekly progress.

You describe the problem on a 30-minute call and get a written fixed quote. We build in fixed-price stages and show working software every week, then hand over the code, infrastructure and documentation on your accounts. See all five steps.

AI document processing: questions.

How much does AI document processing cost?

One document type processed end to end usually costs $6,000–15,000 and takes two to four weeks. Model usage is paid directly by you, and we estimate the cost per document before the build.

How accurate is it?

It depends on your documents, so we measure it: before launch we run a set of your real documents and report accuracy per field. Fields that are not reliable enough go to review instead of being guessed.

Do we need a template for every supplier?

No. Language models read varied layouts without a template per supplier. Checks against your rules catch the cases where a field was misread.

Can it post to QuickBooks or Xero?

Yes. Approved documents are entered through the accounting system's API, and every posted record links back to its source document.

Is our data safe?

Documents stay in your own accounts, and we use model APIs whose terms exclude training on your data. Where documents must not leave your infrastructure, we can use a model hosted in your own cloud.

Do we still need people?

Yes, for the exceptions. The aim is that people review the documents that fail a check, not every document.

Do you sign an NDA?

Yes. We are happy to sign your NDA before you share the details.

When can you start?

We confirm the start date in the written quote, once the scope is agreed. We don't promise a date before we know the work.

Is design included?

Where the work has screens, yes: wireframes and interface design for the agreed scope are part of the fixed price. Brand identity or a full design system are quoted separately if you need them.
